About Zenyth
Zenyth Group LLC is a comprehensive accessibility consulting and development firm dedicated to assisting organizations in identifying, remedying, and supporting accessible digital assets. With a team of experts proficient in various platforms and programming languages, Zenyth Group ensures that digital environments are inclusive and user-friendly for all. Their services encompass web audits, accessible design, compliance monitoring, and legal strategy, among others, all tailored to meet the unique needs of each client.
At Zenyth Group, we believe AI is a powerful tool, but not yet ready to handle large product catalogs effectively without human oversight. After extensive testing of available AI solutions, we found that while these tools can perform well on individual images with detailed prompts, they lack the capability to consistently manage and update large, varied catalogs without manual intervention. Our service integrates AI’s efficiency with expert human oversight, delivering the full potential of AI while ensuring reliable, brand-aligned output that reflects each client’s unique voice and product identity. Additionally, our service includes the client in the process at key stages, allowing for review and validation before the entire catalog is updated, ensuring the final output aligns with company expectations.
Introduction
This Agreement outlines the terms, responsibilities, and operational workflow associated with our Alt Text Generation Service, a professional solution addressing the unique challenges companies face in managing alt text for large product catalogs. Current market tools typically lack the capacity for human oversight at scale, limiting companies with extensive image libraries—often ranging into hundreds of thousands of images—from achieving optimal, brand-specific alt text. Our service combines advanced AI with expert human oversight to ensure precise, accessible, and SEO-compliant alt text for all images, delivering outcomes that simple prompt-based tools cannot match.
Purpose and Objectives
Alt text is essential to online accessibility and SEO. However, creating high-quality, consistent alt text across large catalogs presents a significant challenge. Manual processes are resource-intensive and prone to inconsistency, while many AI tools fail to offer the level of customization and control that businesses need. Our Alt Text Generation Service provides a scalable, robust solution that incorporates AI-driven automation alongside critical human expertise. This approach ensures:
- Alt text generation is aligned with the client’s brand voice, accessibility requirements, and product characteristics.
- Comprehensive customization that accounts for nuances in brand-specific terminology, visual details, and key descriptors.
- Reliable, scalable alt text solutions suited to both small catalogs (up to 100 URLs) and large collections requiring API integration and secure staging.
Service Workflow Overview
The Alt Text Generation Service operates through a structured, multi-step process that combines AI-driven technology with targeted human review. Each step will be covered in detail in the following sections. Below is a summary of the core process steps:
Initial Sitemap and Image Analysis:
For catalogs of up to 100 URLs, we will perform a sitemap crawl to identify relevant images, providing a comprehensive CSV file with all generated alt texts, original text (if any), image URLs, and other relevant data. For larger catalogs exceeding 100 URLs, we use the client’s API to access all images securely, ensuring compliance with platform requirements and facilitating a smooth workflow for larger inventories.
Client Input and Customization:
The client has the opportunity to provide specific inputs, such as branding guidelines or key terminology, that will guide our team in aligning the alt text output with the company’s expectations. This customization step ensures that alt texts reflect the unique aspects of the client’s brand, products, and market positioning.
Human-Led Quality Refinement and Validation:
Our team carefully reviews a sample set of generated alt texts, adjusting as necessary to enhance contextual accuracy, address any misinterpretations, and ensure alignment with accessibility and brand standards. This human oversight allows us to go beyond standard AI-generated text to meet the precise needs of the client.
Full-Scale Alt Text Generation and Client Validation:
Once the sample review and refinements are complete, we apply the final process to the entire catalog. This generates consistent, high-quality alt text across all images, ensuring each description aligns with both brand standards and accessibility requirements.
Upon completion, the client will have the opportunity to validate the generated alt texts to confirm alignment with company expectations. This review step allows for final adjustments before integration.
Output Delivery and Integration:
For smaller catalogs, we deliver a CSV file with the alt texts and associated data. For larger catalogs, we use the platform’s API to integrate the results directly into the client’s staging environment. This staged integration allows for thorough validation prior to live deployment, ensuring a seamless transition and minimizing potential disruptions.
Continuous Monitoring and API-Driven Quality Control:
Our team of experts monitors the entire process, actively managing each phase to ensure consistency and accuracy. We leverage platform APIs not only to access and process images but also to catch and address any errors promptly, ensuring comprehensive coverage and reliable performance.
Service Workflow in Detail
Step 1: Post-Purchase Communication and Initial Information Gathering
Upon purchasing our Alt Text Generation Service, the client will receive a formal communication from our team within five (5) business days. This communication will outline the next steps and will include a request for key information essential to initiate the service.
The client agrees to provide the following details within five (5) business days of receiving our request:
Company Information:
- Legal Entity Name: The registered name of the client’s company.
- Company URL: The primary URL for the website on which the alt text will be generated.
Primary Contact Details:
- Contact Person: The name of the primary contact responsible for overseeing the service implementation on behalf of the client.
- Email Address: The primary contact’s email for all project-related communications.
- Phone Number: A direct line for immediate communication as necessary.
Platform and Technical Information:
- Hosting Platform: The client must specify the platform on which their site is hosted (e.g., self-hosted, Shopify, BigCommerce, etc.).
- API Access Confirmation (if applicable): For larger catalogs (over 100 URLs), confirmation that API access will be granted to facilitate comprehensive alt text processing across the product catalog.
Failure to provide the requested information within the specified time frame may result in delays to the service initiation, for which [Service Provider’s Name] shall not be held liable. Once the required information is received, our team will initiate the next steps in the workflow, as outlined in the following sections.
Step 2: Client Input and Customization
Upon receipt of the initial information provided by the client, Zenyth Group LLC will proceed by preparing a preliminary overview document for the client’s review and validation. This document will be delivered within five (5) business days of receiving the necessary details from the client and will contain:
Service Timeline and Deadlines:
A detailed timeline indicating estimated completion dates for each phase of the service, based on the scope and complexity of the catalog.
Validated Company Information:
Confirmation of essential company details including the registered company name, website URL, primary contact, and platform specifications.
Brand and Material Specifications:
A tailored list of specific brands, materials, and product categories to guide the expert team in ensuring that descriptions align with the client’s brand identity and terminological preferences.
Sample Image and Alt Text Examples:
An initial set of sample images accompanied by generated alt text examples. This sample is intended to allow the client to review and validate the tone, language, and descriptive format that the expert team will apply across the catalog.
The client agrees to review the provided document and respond with any necessary revisions or approvals within five (5) business days of receipt. Client feedback at this stage is essential to ensure that the output aligns with the client’s expectations, branding, and voice. Failure to provide timely feedback may result in delays, for which Zenyth Group LLC will not be held liable.
Upon validation of this preliminary information, Zenyth Group LLC’s expert team will incorporate any approved customizations and proceed to the next steps in the workflow, ensuring all outputs align with the client’s specific needs and brand guidelines.
Step 3: Human-Led Quality Refinement and Validation
Once the client’s initial inputs are validated, Zenyth Group LLC’s expert team will commence the alt text generation process. In this stage, our team carefully applies a quality refinement process to ensure alignment with the client’s specific needs as outlined in the previous step. This step, known as Sampling, involves rigorous checks across product variants, brand specifications, materials, and other unique attributes provided by the client. Through sampling, we verify that the alt text output consistently reflects the client’s brand identity and descriptive preferences.
Upon completion of the initial sampling, Zenyth Group LLC will provide a larger sample set for client review. This sample allows the client to validate the broader application of tone, language, and descriptive details across a variety of product images.
For small catalogs (fewer than 100 URLs):
- Upon final client approval of the sample, Zenyth Group LLC will complete the alt text generation for the entire catalog. A comprehensive CSV file will be delivered, containing the generated alt text for each image, along with relevant details such as image URLs.
- The client will receive instructions for updating alt texts within their specific platform, as update procedures may vary depending on platform specifications. Zenyth Group LLC does not perform these updates; however, with the documentation provided, the client will be able to complete the updates independently.
At this point, the service workflow concludes for small catalogs, with all deliverables finalized.
For large catalogs (more than 100 URLs), the service continues with the integration phase, as detailed in the subsequent steps.
Step 4: Full-Scale Alt Text Generation and Client Validation
For large catalogs, Zenyth Group LLC will first submit an extensive set of sample alt text outputs to the client. This broader sample covers a wide range of product variations, ensuring that alt text aligns with the client’s expectations across brands, materials, and specific product categories. This step allows the client to review and confirm that the alt text format, tone, and language meet company standards before proceeding with the full catalog.
At this stage, Zenyth Group LLC will request access to a staging environment that mirrors the client’s live store. This staging environment will enable our team to apply updates and assess any platform-specific limitations in a safe setting, mitigating the risk of disruptions on the live website. Running this process in a staging environment ensures:
Error Prevention:
Testing allows us to identify and resolve potential compatibility issues or platform restrictions.
Performance Assurance:
Processing in a non-live environment confirms that alt text updates do not impact site speed or functionality.
Seamless Integration:
A safe environment allows for a streamlined transition to the live catalog once quality and compatibility are verified.
Once this stage is complete and the client validates the generated outputs, the catalog is ready for final adjustments and integration, ensuring alignment with both brand standards and accessibility requirements.
Step 5: Output Delivery and Integration
For smaller catalogs, Zenyth Group LLC will deliver a comprehensive CSV file containing all generated alt texts, image URLs, and associated data. This file allows the client to manage and update alt texts directly on their platform, with full documentation provided for implementing these updates.
For larger catalogs, Zenyth Group LLC integrates the results directly into the client’s website using API access. This API-based integration is essential for efficiently processing large catalogs and is the recommended approach for most platforms managing extensive product data, including BigCommerce, Shopify, WordPress, and custom-built websites with available API capabilities. API integration ensures:
Efficiency and Scalability:
Through API access, we can update large volumes of alt text across thousands of images seamlessly, eliminating the manual workload and potential for human error.
Consistency and Accuracy:
Direct integration allows for precise updates across the catalog, ensuring that each alt text aligns with brand standards and accessibility guidelines without manual adjustments.
Platform Compliance:
Many major platforms require or strongly recommend API-driven updates for large-scale catalogs, as this approach minimizes server strain and prevents data handling issues that may arise from bulk manual uploads.
Upon the client’s approval of the staging integration, Zenyth Group LLC will proceed to integrate the alt texts into the live environment using the same API approach. The staging environment ensures that updates can be thoroughly validated prior to live deployment, providing a seamless transition and minimizing any potential disruptions to the client’s active site.
To facilitate this process, the client agrees to provide Zenyth Group LLC with the necessary API access credentials for both staging and live environments. Any limitations or restrictions on access should be communicated prior to the integration phase to avoid delays.
Supported Platforms and Integration Capabilities
- Zenyth Group LLC supports seamless integration across a variety of platforms, leveraging API access to efficiently process and update alt text for large product catalogs. We work with major e-commerce and content management platforms, including BigCommerce, Shopify, WordPress, Magento, as well as custom-built websites that offer well-documented APIs and a staging environment for safe testing.
- Each platform presents unique integration capabilities and requirements, and our team ensures full compliance with platform-specific guidelines. By using API access, we provide efficient, high-volume updates across thousands of images, precisely aligning alt text with brand standards and accessibility needs. The staging environment allows for thorough testing and validation, ensuring that updates integrate smoothly without interrupting live site operations. This approach also respects platform policies, mitigating potential issues associated with bulk uploads or server strain.
- For custom-built websites, we will review the provided API documentation to assess compliance with our technical requirements. In cases where custom websites do not meet these requirements, we provide a detailed document outlining the technical specifications necessary to enable the service. This allows clients to make adjustments and fully benefit from our alt text generation and integration capabilities.
Step 6: Continuous Monitoring and API-Driven Quality Control
Zenyth Group LLC’s team of experts actively oversees each phase of the alt text generation and integration process, ensuring consistent quality and seamless coordination with the client’s existing development team. To prevent any overlap or conflicts with ongoing development work on the client’s website, our team will establish direct communication with the relevant technical contacts. This ensures a transparent workflow, with all parties—including the client’s designated contact and technical personnel—included in an email thread for real-time updates and collaboration throughout the process.
Using platform APIs, our experts conduct continuous monitoring of each step, promptly identifying and addressing any issues that may arise. This API-driven quality control not only guarantees reliable performance across large catalogs but also enables us to provide detailed reporting on any technical barriers that could prevent images from being updated. Examples of such issues include:
- Antibot Mechanisms: Restrictions that may block API requests or web crawlers, impacting data access.
- CDN Limitations: Content Delivery Networks (CDNs) may impose caching policies or access controls that delay or restrict updates.
- Firewall Restrictions: Security firewalls may limit external access to the server, requiring adjustments to allow API requests.
- Rate Limits on API Usage: Some platforms may impose rate limits on API calls, restricting the number of requests that can be made per minute or hour. This can slow down the process and may require coordination with the client to adjust API usage settings.
- Data Privacy and Compliance Requirements: For platforms with strict data compliance rules (e.g., GDPR in the EU), there may be restrictions on accessing or processing specific image metadata. In such cases, the client may need to provide certain data directly or adjust permissions.
- Image Format Limitations: Certain image formats (such as SVGs or proprietary file types) may not be supported by the AI processing tools or may require special handling. For these cases, Zenyth Group LLC will notify the client of any unsupported formats.
- Access and Authentication Protocols: If the platform requires multi-factor authentication (MFA) or single sign-on (SSO) for API access, it may add additional steps to the integration process. Clients would need to coordinate with their internal teams to allow secure access for Zenyth Group’s work.
- Platform-Specific Alt Text Length Constraints: Some platforms limit the length of alt text (e.g., Twitter or Shopify with a 125-character limit). If there are platform-specific character constraints, adjustments may be needed to ensure compliance.
- Maintenance or Downtime Windows: If the client’s platform has scheduled maintenance or unplanned downtime during the integration process, it may temporarily halt progress. Zenyth Group LLC will coordinate with the client to ensure updates resume as soon as possible.
- Localization Requirements: If the client’s catalog includes multiple languages, additional steps may be required to generate alt text in each supported language. This may necessitate additional processing time or coordination for language-specific prompts.
Our team will work closely with the client’s technical team to address these issues, ensuring every image is successfully updated. Additionally, we will provide comprehensive reports on any encountered issues, detailing their nature, potential solutions, and the steps taken to resolve or mitigate them.
Zenyth Group LLC remains dedicated to overseeing the process to completion, from initial setup through to the final image update, ensuring every aspect of the catalog aligns with the client’s accessibility and branding requirements.
